Backup and Restore

Backup

Zoho CRM provides built-in data backup features (Zoho CRM help: Requesting Data Backup):

Schedule options:

  • Twice a month
  • Once a month
  • Every week (add-on purchase)
  • Download immediately (one-time)

What is backed up:

  • All module records (as CSV per module)
  • Record attachments (in separate ZIP)

Download window: Backup download links are active for 7 days after generation.

Enterprise/Ultimate: Include built-in weekly full backups and daily incremental backups. The Schedule Data Backup API enables automated backup scheduling.

Recycle Bin: Deleted records are retained for up to 60 days before permanent deletion and can be restored within that window.

Restore

Zoho CRM does not have a single-click "restore from backup" operation that reverts the entire org to a previous state. Restoration involves:

  1. Recycle Bin restore (within 60 days): For recently deleted records.
  2. Audit log investigation to identify what changed.
  3. CSV re-import of backed-up module data for individual modules.
  4. Data migration (Zoho CRM's migration tool) for large-scale or relational restoration.

Workaround gap: Full point-in-time org restoration is not a native capability. Third-party tools (e.g., Pro Backup for Zoho CRM via Marketplace) provide version history and record-level recovery beyond native capabilities (AorBorC: Zoho CRM Backups guide).
