Blueprint is Zoho CRM's formal process enforcement engine—an online replica of a business process that mandates specific steps, information, and approvals as records move through defined stages (Zoho CRM Blueprint overview tutorial).
Building Blocks
States: Each stage in a process (analogous to deal stages, lead statuses, or any picklist-driven progression). States are dragged and dropped into the Blueprint Editor.
Transitions: The rules governing movement from one State to another. Each Transition has three phases:
| Phase | Controls |
|---|---|
| Before Transition | Who can execute this Transition, and for which records (criteria/conditions) |
| During Transition | What information must be entered or confirmed before the Transition completes |
| After Transition | What automated actions execute upon Transition completion (emails, tasks, webhooks, custom functions, field updates) |
Transitions appear as buttons on the record detail page; only authorized users see the buttons applicable to them.
Use Cases
- Lead Qualification Scripts: Guide reps through scripted product descriptions on calls, reducing inconsistency.
- Deal Follow-up: Validate that discount entered does not exceed 25% before moving to next stage; auto-notify managers.
- Order Management: Prompt reps to enter customer address during shipping/delivery stages (Zoho CRM Blueprint overview tutorial).
Availability: Blueprint is available from the Professional edition and above. CommandCenter 2.0 is available in Enterprise/Ultimate.
Execution order: Blueprint executes as part of the automation chain: Assignment Rules > Review Process > Scoring Rules > Workflow Rules > Approval Process > Blueprint > Scoring Rules > CommandCenter (Zoho CRM help: Workflow Rules).
